SUMMARY:
The Archiving Clerk will provide support to the finance department in organizing and managing the organization’s finance documents. S/he will assist in organizing, sorting, and maintaining accurate records of finance documents.
RESPONSIBILITIES:
- Assist in organizing and sorting all the finance department journal vouchers in accordance with established guidelines and procedures.
- Ensure that all journal vouchers are complete and address any missing vouchers promptly.
- Ensure that all journal vouchers are appropriately stamped as paid.
- Assist in filing and ensure that all journal vouchers are properly filed and stored in the correct location.
- Assist in labeling all project files based on the filing reference and JV number.
- Ensure that all project files are numbered sequentially for easy reference.
- Assist in scanning all finance journal vouchers for digital archiving purposes.
- Adhere to confidentiality and data protection protocols when handling sensitive financial materials.
- Maintain the cleanliness and organization of the finance archive storage areas.
QUALIFICATIONS AND SKILLS:
- High school diploma or equivalent.
- Strong organizational skills and attention to detail.
- Ability to follow instructions and work independently or as part of a team.
- basic written and verbal communication skills.
- Basic computer literacy and familiarity with Microsoft Office Suite.
- Demonstrated interest in archival work and a willingness to learn.
- Physical ability to lift and move boxes and other items as required.
